The organization drives economic growth through tourism marketing and destination development to improve quality of life for Bryan’s residents. 

POSITION OBJECTIVES:
The Sales & Events Coordinator supports DB’s business development and tourism event strategies through sales support, event servicing, and the coordination of DB-led tourism and client-facing events. This role enhances the visitor experience for meetings, conferences, vendor activations, and public tourism events while contributing to overnight stays, local business engagement, and destination visibility. Working in close collaboration with the BDM, the Sales & Events Coordinator is responsible for coordinating logistics for group experience development and Destination Bryan’s tourism-focused events while also supporting proactive sales initiatives and HOT Grant-funded activities.

KEY JOB FUNCTIONS:
Sales Support & Business Development Assistance
• Assist the BDM in generating and managing inbound leads across corporate, education, association, government, and social markets.
• Coordinate hotel and venue proposals, room block logistics, and partner referrals.
• Help schedule and support site visits and familiarization tours, preparing itineraries and group collateral.
• Maintain a working knowledge of local hotels, venues, attractions, restaurants, and services.
• Support sales research and lead qualification efforts to advance prospecting strategies.

Event Coordination & Execution
• Lead the planning, logistics, and on-site execution of DB-hosted tourism events (e.g., promotional events, public tourism activations, community engagement campaigns).
• Coordinate all operational aspects for both public-facing events and group client events, including vendor selection, contract management, permitting, and run-of-show execution.
• Serve as the lead for sponsor/vendor welcome events, client receptions, or hospitality activations related to group sales efforts.
• Manage event timelines, budgets, staffing, and post-event evaluations in coordination with internal departments and stakeholders.

Group & Visitor Experience
• Serve as the primary event experience contact for contracted group clients, managing touchpoints from pre-arrival to post-event.
• Provide destination support including pre-arrival promotion, logistics, local insights, and on-site presence during key group events.
• Deliver concierge-style service and ensure a high-quality client experience that encourages repeat visitation.

CRM & Administrative Support
• Maintain accurate records of leads, bookings, events, and services in the CRM (iDSS preferred).
• Track and report KPIs such as room nights, group size, economic impact, and event ROI.
• Support internal documentation needs, expense tracking, and grant-related reporting.

HOT Grant Coordination
• Assist in executing the Hotel Occupancy Tax (HOT) Grant Program for qualified events.
• Communicate with potential grantees, help manage application support, and coordinate marketing deliverable reviews.
• Track event impact and maintain program documentation in alignment with City and State requirements.

QUALIFICATIONS & REQUIREMENTS:
• Bachelor's degree or related experience in tourism, community engagement, public relations, event planning, marketing, or a related field
• One (1) year of experience, preferably in event planning
• Ability to work nights and weekends
• Must live in, or be willing to relocate to, the Bryan-College Station, Texas area
• Ability to lift and carry up to 50 pounds
• Must be able to operate a motor vehicle and have a valid driver’s license 

WORKING KNOWLEDGE & SKILLS:
• Knowledge of destination marketing organizations, tourism trends, and event planning best practices
• Experience coordinating large-scale or high-impact tourism and hospitality events
• Excellent communication, relationship-building, and interpersonal skills
• Strong project management, vendor coordination, and budgeting abilities
• Creative thinker with the ability to develop and execute innovative ideas
• Proven self-starter, effectively able to manage multiple priorities, and adheres to deadlines
• Ability to work collaboratively with diverse stakeholders, including sponsors, city officials, and community partners
• Passion for creating visitor experiences that showcase the character and spirit of Bryan, Texas
